Privacy Statement

At Newark & Nottinghamshire Agricultural Society (known as NNAS), we are committed to the highest privacy standards. We will only collect data that is necessary for us to deliver the best possible service and ensure you are reminded about events or anything else relevant to your enjoyment and time with us at the Showground. This policy provides detailed information on when and why we collect your personal information, how we use it and the very limited conditions under which we may disclose it to others.

Collection of your Personal Information

As an organisation most personal data is collected from people “opting in” to enter our shows, become a Member or trade with us and includes:

·Address

·Phone Number

·E mail address

·Credit/Debit card details (where necessary)

We may collect other relevant details including your specific needs as an entrant, trader, volunteer and Member of our shows or user of the showground. We make sure the data is stored securely and delete all information deemed to be no longer necessary. Historic Agricultural Show records are exempt from GDPR restrictions but remain subject to DEFRA regulations.

Businesses or agents entering Society Shows are responsible for gaining permission of their client before passing personal details of the entrant(s) to the Show.

Employees of NNAS or NNAS (Trading) Limited are obliged to supply personal data for purposes such as taxation, pensions and compliance with all other legislation.

How we use this information

The information you provide is used to ensure we offer you the best and most appropriate service. We will remind you when new and annual events are being held that we believe would be of interest, we enter you into specific classes within our annual shows, we allocate space for your trade at our shows and within our venue.


You may receive occasional emails that we consider may be of interest to you. An opt-out option in the form of an “unsubscribe” link is available within the footer of the email/newsletter.


We use your contact information to respond to queries from you, and where appropriate your bank details to collect Direct Debit payments as agreed. We may occasionally contact you to ask for your feedback on events we have held.

Storage, processing and retention of your information.
The Society and NNAS (Trading) are registered with the Information Commissioners Office. We have a duty to ensure the security of personal data and to ensure that the information is protected from unauthorised access, loss, manipulation, falsification, destruction or unauthorised disclosure.We maintain appropriate technical measures and managerial procedures necessary to protect your privacy.

If we collect Direct Debits from you these payments will be processed by our accounts team. Data relating to our Society events will be processed by our Shows Team and where necessary for invoicing and banking purposes, is shared with our accounts team.

Any third-party company is only permitted to process your data for specific, regulatory purposes and in accordance with your instructions. We retain your information for as long as reasonably necessary to provide our products and services and to maintain records to satisfy tax and other legal requirements, after which it will be deleted.

Employee information held is accurate and up to date, held securely and as obliged by HMRC held for a minimum of three payroll tax years and not transferred to a country outside the European Economic Area unless there is adequate level of data protection.

The Company’s appointed Data Controller is responsible for controlling all personal data in compliance with the General Data Protection Regulation.


Sharing your Personal Information

We do not sell or pass your data to third parties.We do not use your information for purposes other than those specified within “How we use this information” or where there is a breed society requirement for a class entry to be verified.

Where necessary we may disclose your information to external agencies and organisations, including the police, for the prevention and detection of fraud and criminal activity. Should any claim be made, we may pass your personal information to our insurers.

Accessing your Personal Information

You are entitled to access the personal information that we hold on you; any such request should be made using our contact details below. If any data we hold is inaccurate, this will be corrected promptly on request. In certain circumstances you can request that we erase your data which we will do where this would not prevent us meeting our legal and regulatory obligations.Any such request will be actioned by 30 days of the request made.

Updating your information

You may contact us and request that we do not send you communications using any of the contact details we hold on our records, this may include your email, telephone and postal information.

Use of Cookies
