1. The show is open between 0900 & 1700 on Saturday and 0900 & 1530 on Sunday. Exhibitors must attend both days. PLEASE NOTE THAT YOU MUST BE IN PLACE AT THE SHOW BY 0830 ON BOTH DAYS AND MAY NOT LEAVE UNTIL THE SHOW FINISHES AT 15.45 ON THE SUNDAY.

2. Closing date for entries is Friday 9th October 2009. It may be necessary to close entries before the advertised date: therefore entries should be made as early as possible.

3. Please ensure you complete the box if you require a caravan pass. There is no access for caravans to the camping area without a pass. Extra caravan/camping passes may be purchased.

4. Exhibitors participating in this must hold a valid Insurance Policy.

a. Newark and Nottinghamshire Agricultural Society will not be liable for the death of or injury to any person attending the Showground or for any losses claims demands actions proceedings damages costs or expenses or other liability incurred by the Exhibitor in the exercise of the rights granted to the Exhibitor except where such death injury or loss is due to the negligence of Newark and Nottinghamshire Agricultural Society
5. Newark and Nottinghamshire Agricultural Society will not under any circumstances accept responsibility or liability in respect The gates open, for exhibitors, on Thursday 0900-1700 and on Friday 0800 – 2200. All exhibitors arriving after these times will have to park up on the Blue Gate runway until either 0800 Friday morning or 0600 Saturday morning when the gates open. A vehicle pass allows vehicles onto the showground for loading / off loading only. No vehicle movement will be allowed while the show is open to the public.
a. of any damage to or loss of any goods articles or property of any kind brought into or left at the Showground either by the Exhibitor for his own purposes or by any other person or left or deposited with any officer or employee of Newark and Nottinghamshire Agricultural Society
b. The Exhibitor will indemnify Newark and Nottinghamshire Agricultural Society against all such liabilities as are mentioned in this Condition

6. Passes, etc. Will be dispatched 2 weeks before the show. Each exhibitor will receive: (a) An Exhibitor Number and Vehicle pass to be shown at the gate, (b) An Exhibitor letter to be signed by the appropriate Hall Steward, this will allow you to get your weekend admission bands, (No letter, No passes) and (c) An Exhibitor Card, to be filled in and displayed with the exhibit.

7. On arrival unload your exhibit and take your Exhibitor letter to your Hall Steward for signature. Take this letter to the Organisers’ Office for your wrist bands. On Friday, the Organisers’ Office will be in the Cedric Ford Pavilion from 0900 to 1700 and from 0800 on the days of the show. Exhibitor wrist bands, which are not transferable, must be worn at all times.

8. Tracked or metal-wheeled vehicles must seek advice from their Stewards on arrival and before unloading. Road bands preferred on metal-wheeled tractors.

9. Once tractors are in position, all batteries must be disconnected.

10. All nominated tractors will be in the George Stephenson Hall.

11. Exhibits to be unloaded on arrival. Exhibitors are welcome to sheet down their exhibit but the sheet must be removed by 09.00.

12. At the end of the show no engine is allowed to be started up until authorised by the Hall Steward and the general public is clear of the area.

On completion of the Entry Form, you have agreed to abide by the Conditions of Entry and note that you must be in place at the Show by 0830 ON BOTH DAYS and WILL NOT LEAVE UNTIL THE SHOW FINISHES AT 15.30 on Sunday. You also understand that the Newark & Nottinghamshire Agricultural Society cannot be held responsible for any loss, damage or accident, however caused and it is therefore essential that you hold a relevant insurance policy. You also undertake to conform to all the rules and regulations of the Show.
